When documents are created in Microsoft Office 2013 or 2010 they store hidden data and other personal information internally in the documents. Personal data such as who created the document,organization name,document creation date,last edited date, absolute path of the document etc are stored. When creating documents that will be shared with clients or to others it is important to make sure that the hidden data and personal information are removed before circulation. To remove hidden data and personal information in Microsoft Office 2013 or 2010 follow the below steps.The steps below shown are for Word document and the same steps apply for Excel or Powerpoint documents
1. Create a new document and save it to the file system or open a existing saved document.
2. Click on File Menu and Select Info and on Left to Inspect Document (For Word) or Inspect WorkBook (For Excel) or Inspect Powerpoint (For Presentations PPT) Click on Check for Issues and select Inspect Document
3. This will open Document Inspector Window. Click Inspect
4. Next to Document Properties and Personal Information Heading click Remove All
This will remove all the hidden data and personal information stored in the document. Once done this information cannot be restored. When documents are shared with others these steps should be added to your workflow to remove hidden data and personal information that gets stored automatically in office documents.If shared as such the information present in the document can reveal a lot of information which can be used to infer some sensitive information and hence for documents being shared it is good to do this check and remove hidden data and personal information from the documents.
